The operator of Repair Karte (“we” or “us”) handles personal information in the repair-reception and customer-management service “Repair Karte” (the “Service”) as follows.
1. Information We Collect
- Registered shop information: shop name, the name and username of the person in charge, email address, password (stored as a cryptographic hash and never in plain text), and shop details such as address and phone number.
- Customer information entered by shops: the names, phone numbers, email addresses, addresses (for mail-in repairs), repair details, photos, signatures, LINE-account linkage information, text-message (SMS) opt-in and opt-out records and the mobile numbers used for them, WhatsApp opt-in and opt-out records and the phone numbers used for them, and similar data of a shop’s customers that the shop enters into the Service for its business. We handle such data as entrusted by the shop, and each shop determines the purpose of its use.
- Automatically collected information: access logs (IP address, date and time, operation records) and cookies (used to maintain login state and manage sessions, and to remember how a visitor first came to our official website; see section 9). We do not use cookies for advertising or behavioral tracking.
2. Purposes of Use
- Providing the Service, verifying identity, and managing logins.
- Responding to inquiries and sending important notices.
- Preventing misuse and ensuring security (e.g., login-attempt limits and audit logs).
- Improving the quality of the Service and responding to failures.
- Administrative tasks related to billing.
3. Provision to Third Parties
We do not provide personal information to third parties without the individual’s consent, except where required by law or necessary to protect a person’s life, body, or property. Text-message (SMS) opt-in data and consent, and the phone numbers collected for it, will not be shared with any third parties, as described in section 5. The same applies to WhatsApp opt-in data and consent, and the phone numbers collected for it, as described in section 6.
4. Subcontractors and External Services
In providing the Service, we use the following external services. Information is entrusted to, or transmitted to, these providers to the extent necessary to provide the Service.
| GMO Internet Group (ConoHa) | Server operation (data storage). |
| Brevo (Sendinblue SAS) | Sending email (recipient addresses and content for confirmation, password reset, repair updates to customers, etc.). |
| LY Corporation (LINE) | LINE notification integration (a customer’s LINE user ID and notification content, where a shop has set up LINE integration). |
| Twilio Inc. | Sending text messages (SMS) to customers (the recipient mobile number and message content, and replies from customers). |
| Meta Platforms, Inc. (WhatsApp Business Platform) | Sending WhatsApp messages to customers where a shop has connected its own WhatsApp Business account (the recipient phone number and message content, and replies from customers). |
| Stripe, Inc. | Processing payments for the Service, and customers’ payments where a shop has set up online payment (card numbers are handled directly by Stripe and are not stored by us). |
| Google (Google Fonts) | Font delivery for the shop app (IP address and similar data are sent to Google on access). |
| Anthropic, PBC | Writing answers for “Ask AI” in the shop app’s help chat (the question text typed by shop staff; repair records and customer data are not sent). |
5. Text Message (SMS) Notifications
Where a shop has turned this on, we send text messages about a customer’s repair on the shop’s behalf from Repair Karte’s number, under the name “[Shop name] via Repair Karte”. This is currently available to customers in certain countries.
- Consent: We text only customers who replied YES to the confirmation text sent at check-in, or who signed up by sending JOIN from the repair status page. We send to the phone number the customer replied or signed up from.
- What we send: Repair notices only, such as estimates, repair-complete and pickup notices, reminders, and shipping and payment notices for mail-in repairs, and the shop’s replies to messages from the customer. A shop’s reply is sent only to a customer who has opted in or who has texted our number (unless they have opted out), and it starts with “[Shop name] via Repair Karte:” and ends with the opt-out notice. No marketing or promotional messages.
- Frequency: Message frequency varies with the repair (usually a few messages per repair).
- Cost: We do not charge customers. Message and data rates may apply from your mobile carrier.
- Stop and help: Reply STOP at any time to stop texts to that number. Reply HELP for help, or email info@repairkarte.com.
- Replies: Other replies go to the shop that texted with you from this number in the last 30 days, if that shop receives messages in the Service. If not, we automatically reply asking you to contact the shop directly.
- Your information: Mobile phone numbers and text-message opt-in data and consent are used only to send these repair notices and shop replies. They will not be shared with, sold to, or rented to any third parties or affiliates for marketing or promotional purposes. (To deliver messages, the recipient number and message content are sent to the SMS provider listed in section 4.)
- Carriers are not liable for delayed or undelivered messages.
6. WhatsApp Notifications
Where a shop has connected its own WhatsApp Business account to the Service, repair notices are sent from that shop’s WhatsApp number, using fixed message texts prepared by us. The shop is the sender. We provide the shop with the system that sends these messages through the WhatsApp Business Platform of Meta Platforms, Inc.
- Consent: We message only customers who asked for updates at check-in and then tapped the button in the WhatsApp message they received, or who signed up by sending JOIN to the shop’s number from the repair status page. We send to the WhatsApp number the customer tapped the button or sent the message from.
- What we send: Repair notices only, such as estimates, repair-complete and pickup notices, reminders, and receipt, shipping, and payment notices for mail-in repairs. No marketing or promotional messages.
- Stop: Send STOP in the chat with the shop at any time to stop notices from that shop. Send START to get them again.
- Replies: Replies from customers go to the shop’s WhatsApp. Please send questions about your repair to the shop directly in the same chat.
- Cost: Per-message WhatsApp fees are billed by Meta to the shop. Customers pay nothing to receive these notices (your usual data charges apply).
- Records: We keep records of messages sent (recipient number, message text, date and time, and whether it was delivered), messages received from customers, and opt-in and opt-out records.
- Your information: Phone numbers and WhatsApp opt-in data and consent are used only to send repair notices from that shop. They will not be shared with, sold to, or rented to any third parties or affiliates for marketing or promotional purposes. (To deliver messages, the recipient number and message content are sent to Meta, as listed in section 4.) For how WhatsApp handles your information, see the WhatsApp Privacy Policy and the Meta Privacy Policy.
7. Security Measures
- Communications are encrypted with TLS (HTTPS).
- Passwords are hashed, and secrets such as API keys are stored encrypted.
- Data is stored separately per shop, structured so that other shops cannot access it.
- Data is backed up regularly.
8. Requests for Disclosure, Correction, Deletion, etc.
We respond promptly, in accordance with law and after verifying identity, to requests from individuals for the disclosure, correction, suspension of use, or deletion of their personal information. Please contact info@repairkarte.com. Note that for customer information registered by a shop, it may be appropriate to first contact that shop.
9. Cookies
The Service uses cookies to maintain login state and ensure security (CSRF protection). If you disable cookies in your browser settings, you will not be able to log in to the Service.
Our official website (repairkarte.com) also uses a cookie that remembers, for 30 days, the first page a visitor opened and where they came from (the referring site). To improve the Service, we use it to count how many times each step up to registration is passed, only as totals by language, device type (computer or smartphone), and type of first page. This cookie and these counts contain no information that identifies an individual, and are not used for advertising or behavioral tracking.
10. Revisions
This policy may be revised in response to changes in law or in the Service. For material changes, we will give notice by posting within the Service or by similar means.
