Chapter 2

Repairs (dashboard)

This is the first screen you see after logging in. Everything you need to do today is here, so the basic routine is to open this screen first thing in the morning.

Today's activity#

All plans
The repair list. Today's numbers at the top, status cards below, then the list of repairs
On a smartphone, the same screen is shown in portrait layout

Today's numbers are shown at the top as 4 cards. Press "Checked in today" or "Needs action" to show only those repairs.

Checked in today
Number of repairs checked in today
Pickups due today
The number of today's pickup appointments not yet picked up. Press it to open the pickup appointments screen. For shops whose plan doesn't include pickup appointments (Free, Standard), this card is "Picked up today", the number marked as picked up today
Active repairs
Number of repairs, excluding those picked up or cancelled
Needs action
Number of repairs that are close to their due date, have stalled, or have parts or materials not yet ordered (parts to order). If there are any, a yellow box shows the breakdown, and "View" shows only those repairs. Repairs with parts to order show the part names and "Order parts" in the list. It goes away when you change the part to "Awaiting stock"

For a newly registered shop, initial setup (a screen of questions to answer) opens the first time you log in, and you can't go to other screens until you finish it. Shops that were already using Repair Karte before this and haven't finished initial setup show the shop admin the message "Welcome! Your initial setup isn't finished yet". Press "Start setup" to go to initial setup, or "Later" to dismiss it.

Status cards, and where finished repairs go#

All plans

A card for each of the 6 statuses shows how many repairs are in it. Press a card to show only repairs in that status (for example, press "Work done" to list just the repairs you need to contact customers about).

When nothing is selected, the list shows only active repairs. Picked-up and cancelled repairs aren't shown. To see them, press "Show all".

90 days after pickup (or cancellation), a repair is automatically archived and drops out of the card counts and the regular list. The data isn't deleted. You can open it anytime with "Show archive too", by searching, or from the repair history in customer management.

Reading the list (icons and colors)#

All plans

Press anywhere on a row to open that repair's ticket. The list is ordered oldest check-in first (so repairs that have been waiting a long time don't get forgotten). Only when you press the "Picked up" card is it ordered newest first. On a computer, you can also sort by pressing the table headings (check-in date, customer, status, staff, amount). 50 repairs are shown per page.

Icon next to the phone number
How this customer will actually be contacted. Blue "Email" means they're notified by email. Customers with no icon don't receive automatic notifications
Badges next to and under the customer name
Mail-in repairs show "Mail-in", mail-in repairs where the customer has reported "I've paid" but you haven't confirmed the payment yet show "Customer says paid", and repairs paid by card show "Paid by card" under the name
Item column
The serial number (S/N) and shelf are shown under the item name (only for repairs that have them)
Badges in the status column
"Cancelled", tags your shop has added, "Awaiting stock (n)", "Urgent", and so on. For mail-in repairs, status names change to mail-in versions such as "Work complete (awaiting payment)" and "Awaiting shipment"
Row colors
Rows that need attention turn yellow, then red once more days pass. The reason is shown on the row, such as "No estimate yet", "No reply from customer", "Contact needed", "Not picked up", "No activity", "Due (n days left)" or "Please order parts (n)"

You can change the number of days that trigger these colors under "Alerts" in the "Check-in & jobs" settings (defaults: No estimate yet 3 days, No reply from customer 7 days, Contact needed 7 days, Not picked up 14 days, No activity 10 days, 3 days before the due date).
