Chapter 15
Outsourcing (repairs from partners)
This feature is for shops that take on repair work from music stores or workshops. Give each partner their own page, where they can send requests, check progress and approve estimates.
Register a partner and give them their own page#
Register partner names under "Partners (outsourcing)" in Settings (contact person, phone, email and notes are optional). Each partner gets a "Link to their own page", so pass it on to them. Without logging in, they can use that page to request repairs, check progress, and approve or cancel estimates.
If you "Reissue link", the old link stops working immediately. Partners you no longer work with can be moved to "Archive", which removes them from the check-in options and closes their page (past repairs are kept, and you can bring them back with "Restore").
Turn requests into tickets#
When a partner sends a request from their page, a count appears in Notifications and on "Outsourcing (partners)" in the side menu. When the items arrive, open "Outsourcing (partners)", compare against the contents of the box, tick the items that were included, enter the item type and repair details, and press "Check in selected requests" to create tickets. Items that weren't in the box stay as requests if you leave them unticked.
You can also check in a partner's items directly. Choose "From a partner (outsourcing)" at the top of the new check-in screen, enter the partner and item names (one per line), and on the next screen enter the item type, repair details and the partner's reference number for each item. There's no agreement or signature step. If you choose "Other (enter name)" in the partner field and check in, a partner is registered under that name.
Outsourced tickets are shown in light purple in the list, with a badge showing the partner's name. No email notifications are sent to customers, and estimates are answered on the partner's page. Use "Partner page" under the partner's name on the ticket to see what the partner sees.
Partner repairs that were handed over (returned) but not yet paid are grouped one row per partner under "Unpaid", opened from "○ unpaid" above "Outsourcing (partners)". "Open partner" lists that partner's unpaid tickets, oldest first, and "Combined statement" prints them on one statement. When a payment comes in, enter the amount, how it was paid and the date in "Record payment" and press "Record payment"; balances are cleared from the oldest ticket first (the window shows how much is cleared on each ticket).
