Chapter 1

Introduction

Repair Karte is a tool that takes each repair from drop-off to pickup on a single ticket. There's only one thing to remember: "When a repair moves forward, press the button on the ticket to move it to the next step."

Logging in and devices#

All plans

There's no app to install. Just open https://repairkarte.com/app in the browser you already use (Safari, Chrome, etc.), and it works on a computer, iPad or smartphone. If you open the same URL on a smartphone, you get a portrait layout.

Enter your "Email address" (or username) and "Password", then press "Log in". "Keep me logged in" is ticked from the start; leave it ticked and you'll be logged in automatically for the next 90 days.
If you forget your password
On the login screen, use "Forgot your password?" to send a reset link to your registered email address (valid for 1 hour). The shop admin can reset staff passwords from "Users".
If login keeps failing
After 10 failed attempts within 15 minutes, login is blocked for a while. Please wait and try again later.
Keeping it on an iPad
Use "Add to Home Screen" from Safari's share button, and you can open it with one tap like an app. We recommend keeping it at your front counter.

Repairs move through 6 statuses#

All plans

Each repair gets its own "ticket", and the ticket moves through the following 6 statuses in order.

  1. Received (Awaiting estimate): Just after check-in. Moves on automatically when you send the final estimate
  2. Estimated (Awaiting reply): Waiting for the customer to approve
  3. In repair: Approved and being worked on
  4. Work done (Awaiting confirmation): Fixed, and waiting for the customer to confirm (if they have no email address, let them know yourself)
  5. Notified (Awaiting pickup): The customer has been told and you're waiting for pickup
  6. Picked up: Handed back and finished

Move the status forward one step at a time with the "Next step" button on the ticket ("Mark as done" while the repair is In repair). In some cases, such as sending an estimate or the customer approving it, the status moves on automatically. If you moved it by mistake, "◀ Move back" takes it back one step (it doesn't appear while the status is Estimated).

NoteFor repairs checked in at the shop, customers are notified automatically twice as the status moves forward: when it moves to "Estimated (Awaiting reply)" and when it moves to "Work done (Awaiting confirmation)" (Standard and above, and only customers with an email address). Moving to In repair, Notified or Picked up doesn't send anything. Customers also get the reminders and review requests you turn on in Settings (Chapter 4), and arrival and shipping notices for mail-in repairs (Chapter 14).

Features by plan#

All plans

Some features depend on your plan. Features you can't use either appear faded with a lock icon in the side menu (pressing one takes you to the "Plan & billing" screen) or show a plan notice when you open them. For the first 30 days after signing up, you can try every Pro plan feature for free.

All plans
Check-in, tickets, customer management, on-site repairs, stock repairs, custom check-in questions, inspection checklists, printing (check-in tickets, estimates, repair completion slips, invoices and receipts), POS (checkout, check / close), items & stock, payment records, calendar feed, backup and ledger import. The Free plan allows up to 100 check-ins per month (the number left is shown on screen) and 1 user
Standard and up

In this manual, the plans that can use each feature are noted under each section heading. Features your plan doesn't include are covered too. Sections only shop admins can use, and sections limited to certain countries, note that as well.

Check-ins left this month (Free plan)#

All plans

The Free plan allows up to 100 check-ins per month. The number left is shown as a "Check-ins this month" meter on the "Today" row of the Repairs list and next to the New check-in heading ("○ left" and "○/100"). On a smartphone, "○ left" appears in the bar at the top of the screen. It isn't shown to shops on Standard or Pro, or during the trial.

How it's counted
The number of repairs checked in that month (the count restarts on the 1st). When you check in several items at once, each item counts. Cancelled repairs count too
Color
It turns orange when 10 or fewer are left, and red when none are left, showing "Limit reached"
Tapping it
On the shop admin account, it opens Plan & billing. Standard and Pro have no limit on check-ins
When you reach the limit
Opening New check-in shows "You've reached your plan's limit of 100 check-ins this month." instead of the form. You can check in again from the 1st of next month. The shop admin also sees "View plans". On a staff account, ask the shop admin about changing the plan
Checking in several items past the limit
If you try to check in more items at once than you have left, you'll see "This would exceed your plan's monthly check-in limit" and can't save the check-in
