Chapter 13

Sales, CSV and ledger import

Updated

Sales dashboard#

Pro
Sales dashboard (monthly). Sales trend, by staff and by item type

Amounts from repairs marked as picked up (and cancellation fees), plus items sold through POS (retail), are totaled automatically, so there's no month-end tallying. Switch between "Daily", "Monthly" and "Yearly", and use the arrows to move between periods.

You can see total sales, number of repairs (compared with the previous period), average price, a sales trend chart ("View table" for the numbers), sales by staff and sales by item type. Staff means the person chosen when the work was marked as done. Sales are counted on the day the repair was marked as picked up (cancellation fees on the day it was cancelled). Cancellations with no fee are not counted as sales. Refunds are entered as negative amounts on the day of the refund and aren't counted in the number of repairs (see "Refund" in Chapter 10).

Items sold through POS are counted on the day of the sale, one sale as one count. In sales by item type they appear as "Retail", and sales by staff use the name of the user who made the sale. Returns go in as a negative "Retail return" on the day of the return and aren't counted. Voided sales aren't included.

The table lists sales incl. tax, excl. tax and tax for each month (or each day in daily view). Tax is the amount included in the tax-inclusive total (rounded down to the cent).

With "Sales ledger" at the bottom, you can export sales as a CSV with one line per sale. The period fields already contain the period on screen, so pressing "Download sales ledger" as is gives you the same period as this screen. Change the dates to export any period you like. The contents are the same as the sales ledger in "CSV export" below.

CSV export (sales ledger and job data)#

Standard and up
CSV export. Sales ledger at the top, job data at the bottom

There are two kinds of CSV. Both open directly in Excel. The data belongs to your shop, so you can take all of it out at any time.

Sales ledger (for tax filing and bookkeeping)
Filters by sales date (the day it was picked up, the day it was cancelled for cancellation fees, or the day of the sale for POS retail) and exports one line per sale. It counts the same way as the sales dashboard, so the totals always match. It starts with one year filled in (last year from January to March, this year otherwise)
Repair data
Filter by check-in date, status, item type, staff and whether to exclude cancelled jobs, then export the repair data. Because it filters by check-in date, it can't be used for sales totals

The sales ledger columns are: sales date, type (repair fee / cancellation fee / refund / retail), ticket number, customer name, partner, item type, item details, description, sales (incl. tax), excl. tax, tax, tax rate, payment method and remarks. Retail rows have the POS sale number in the ticket number column, "Retail" (or "Retail return") as the item type, and the item names in the description.

Shops with two taxes get a column for each tax (GST, PST, etc.) after the "Tax" column, and shops outside Japan/Taiwan also get a "Tax-exempt portion" column.

The payment method column shows "Online payment" for repairs paid online, the method taken at checkout for repairs and retail checked out via POS (split payments are listed like "Cash, Card"), or otherwise the payment method chosen when a receipt was issued (voided sales and receipts don't count). If there's none, it's blank. Card processing fees aren't in the sales ledger, because Stripe deducts them directly from your sales (check them in the payout details in your Stripe dashboard). Refunds appear as a negative "Refund" row on the day of the refund. Their payment method is "Online payment" if refunded to the card, "Cash" for a cash refund, or "Transfer, etc." for a transfer or other refund, and the remarks contain the memo you entered on the ticket. Refunds for repairs with no sale (for example, cancelled with no cancellation fee and the deposit returned) aren't included (see "Refund" in Chapter 10).

NoteTo import into accounting software (QuickBooks, Xero, etc.), use the software's "CSV import" to map the columns and load the file. There's no total row (it would be read as one more sale when imported). Please leave expenses such as parts costs and the calculation of tax owed to your accounting software or tax accountant.

The job data columns are: ticket number, check-in date and time, customer name, phone number, item type, item details, repair details, status, estimate (min / max), confirmed amount, staff, completion date (planned completion date), cancellation date and time, cancellation reason, tags, last updated, changed amount, cancellation fee, serial number and shelf. Shops that have added item fields get one more column for each field after these.

Ask us to import your past tickets and ledger#

All plans

Send us an Excel/CSV ledger, an export from another repair system (RepairDesk, RepairShopr and so on), or photos of your paper ledger or tickets, and our team will import them into tickets for you. There's no charge. Open it from the screen shown when initial setup is complete, or from "Ask us to import" in Settings > Check-in & jobs.

  1. Press "Choose files or photos" and choose what to send. Excel, CSV, PDF and photos are all fine (up to 10MB each, up to 30 at a time). Each one is received right away and shows "Received". Press "Remove" to take off anything you chose by mistake
  2. If there's anything we should know, such as "only the repairs we're still holding" or "we don't use this column", write it in "Note"
  3. Press "Ask us to import". The request also appears in the support chat, so you can talk with our team there

When the import is done, a message arrives in the support chat. "Past requests" at the bottom of the screen also shows whether each request is waiting or imported. Check-in numbers are assigned anew, and the original number is kept in the memo as "Old ledger No.". Tickets with a pickup date become "Picked up".

NoteImporting sends nothing to customers, and imported repairs don't get automatic estimate or pickup reminders. (When you move an imported repair forward, the customer is notified just like for any other repair.)

NoteFiles you send are deleted 30 days after the import is done.
