Chapter 6

The ticket screen

Each repair you check in gets its own "ticket". Press a row in the list to open it. Everything about the repair is gathered on this one screen.

Reading the top section#

All plans
The ticket screen (example after an estimate is sent). Basic info, fees and payments, and report on the left; notes, inspection checklists, timeline and confirmed info on the right

Shows the ticket number, check-in date, customer name (with phone number and contact method icon), item and repair details. For repairs with a serial number, "S/N [number]" and "[n] other repairs of this item" appear under the item (Chapter 5). Shops that have added item fields see them under the item as "Name: value". A redo ticket shows "Redo · Under warranty" (or Not under warranty) with a link to the original repair, and the original ticket shows "Redos:" with a link (Chapter 5). If a requested due date was entered, "Due: [date] ([n] days left)" appears, and if a pickup date is set, "Pickup [date] [time]" appears too (press it to change or cancel; Chapter 9). On the right are the current status badge, tags, "Urgent" and the assigned staff. Repairs checked in together are linked so you can jump between them.

Edit repair info
You can edit the customer name, phone number, customer fields, check-in date, item (and serial number, for shops that ask for it), item fields, repair details, due date and urgent. The signature is view-only. Use "Delete ticket" at the bottom to delete the ticket. For 30 days, a deleted ticket can be restored, photos and timeline included, from the Backup page
Shelf
Press "+ Shelf" under the item to enter a shelf number or box name. Once set, press the shelf to change it (save it empty to clear it). It is shown under the item name in the repair list, and you can search by it to list only the items at that location. Customers never see it
Photos (Pro plan)
Check-in photos appear in the "Notes (not shown to customer)" card. Add more later with "+ Photo" (then "Add photo" once there is one; saved as soon as you add them), and tap one to open it full-screen and draw on it. Photos meant for the customer go on the final estimate and the report instead
Customer page
Under the customer's name, next to the phone number. Opens the status page the customer sees on their smartphone, in a separate tab. Use it when guiding a customer over the phone or to check how things look. Send the page's address to customers who don't get notifications so they can see the status too. Approving, cancelling or booking on that page is recorded the same as if the customer did it
Print check-in ticket / Print estimate / Print completion slip / Invoice / Receipt
Where you print from (the estimate and the repair completion slip become available once the final estimate amount is set; Invoice / Receipt only for shops that have turned it on in Settings). When items were checked in together, "Print all tickets" also appears
Check in as a redo
Appears only on repairs that have been picked up (not on repairs from partners or cancelled repairs). Press it to open the check-in screen with the customer and item filled in (Chapter 5)

Moving the status forward or back#

All plans

A "Next step: ..." button appears at the very bottom of the ticket's top box (below buttons such as "Print check-in ticket"). Pressing it shows a confirmation, which also tells you whether the customer will be notified.

When received
There's no button. Create and send the final estimate under "Fees & payments" below, and it moves to "Estimated" automatically. Leave-it-to-us repairs go straight to "In repair"
When In repair
Press "Mark as done". If your shop has staff registered, choose who did the work first (if there's only one, they're selected from the start; if none are registered, the field doesn't appear)
When items were checked in together
Tick "Also change the other [n] items checked in together" to move them all forward at once. The completion notice is also combined into one message
◀ Move back
Takes the status back one step. The customer isn't notified. This button doesn't appear while the status is "Estimated", so use "Withdraw final estimate" or "Edit final estimate" instead

Notes, timeline and confirmed info#

All plans
Notes
Notes for your shop only. Customers can't see them. You can rewrite them as often as you like
Progress timeline
The status history is recorded automatically. LINE messages and emails that Repair Karte sends automatically (estimate reminders, pickup reminders, notices that a cancelled item is ready to be returned, review requests, and notices that a pickup appointment was cancelled because the shop is closed) are also recorded, along with how they were sent. You can also add a short note such as "Waiting for parts (on order)" with "Add to timeline". Entries you add can't be deleted
Estimated completion
The "Estimated completion date" from the final estimate appears here
Tags
You can add several of the markers you created in Settings (outsourced, on hold, etc.). Customers can't see them
Assigned staff
Choose from your staff and press "Save"

Inspection checklists#

All plans

Tick off check-in inspections (scratches, accessories) and pre-pickup checks (sound, finish) on the ticket. Who checked and when is kept with it, so later you can confirm whether a scratch was already there at check-in, or what was checked before pickup.

  1. In Settings > Check-in & jobs, open "Inspection checklists" and tap the "Use inspection checklists" switch to turn it on (it's saved as soon as you tap it)
  2. The first time, two starter lists for the trade you chose during setup are added (before work: "Check-in inspection"; after work: "Pre-pickup check"). Use "Edit" to change the name, items and item types
  3. "Inspection checklists" appears on the ticket. Tick the items, add notes (optional), choose who checked and press "Record"
Before work and after work
A before-work list is open until the repair starts (Received, Estimated), and an after-work list is open from In repair until pickup, as long as it hasn't been recorded yet (a list that blocks pickup stays open until pickup if it isn't finished). At other times each list is folded into one line; press it to open. On a computer the checklists are always under the notes in the right column. On a phone or a tablet in portrait, they move up to just below the status whenever a list is open (since the right column ends up far down)
Checked by
Shops that have registered staff must choose someone before recording (if there is only one, they are selected from the start; with no staff registered, the field doesn't appear)
After recording
The line shows how many items were checked and who checked, such as "4/5 Aoki". Open it to see the checks, notes and time as recorded. To change it, tick or untick right in that list and press "Record again" ("Revert" puts it back as recorded). Each record also adds a line to the progress timeline
Editing or deleting a checklist
Editing or deleting a checklist in Settings doesn't change tickets that are already recorded (they keep the items as they were when recorded)
Turning it off
Nothing appears on tickets any more. Records aren't deleted, so turning it back on shows them again
Block pickup
Tick "Don't allow pickup until done" on a checklist ("Block pickup" in the list) and, until every item on it is ticked, the ticket's picked-up step ("Shipped" for mail-in) can't be pressed. A red box shows which lists are left instead. It starts off
Going ahead without finishing
Only the shop owner can go ahead: enter a reason in the red box and press "Record reason and mark picked up". The reason and the owner's name are kept on the progress timeline. Staff don't see the button

NoteOnly picked up (shipped, for mail-in) is blocked; marking work done is not. Cancelled repairs aren't blocked either. Checklists don't appear on the customer's page or on slips.

Parts & materials#

All plans
"Parts & materials" on the ticket: order notes for the parts and materials you need to order

A memo of the parts and materials you need to order for this repair. Enter a "Name", "Qty" and "Order note" and press "Add part or material"; it is added as "Not ordered". Repairs with anything "Not ordered" count under Needs action (Parts to order) and show "Order parts" in the list. Once you order and change it to "Awaiting stock", it leaves Needs action and the list shows an "Awaiting stock (n)" badge.

This list isn't linked to stock. Write any name you like, and change the status to "Awaiting stock" or "Arrived" from the dropdown (saved as soon as you choose). Stock for items used on a repair moves when you pick items in stock on the final estimate (Chapters 7 and 8).

Cancelling a repair#

All plans

At the very bottom of the right column (at the very bottom of the screen on a phone) is "Cancel repair". Press it to open it, enter the "Cancellation fee (incl. tax)" and "Reason (optional)", then press "Cancel this repair". If a cancellation fee was set in the final estimate, that amount is already filled in. If you're not charging one, set it to 0.

When you cancel, a red "Cancelled" badge is added. If work hadn't started yet (Received or Estimated), the status becomes "In repair", meaning you are getting the item ready to return (it may need to come back from an outside shop or the repair center first). The customer page shows "Preparing your item for return". When the item can be returned, press "Mark as done" and the customer gets a notice that the item is ready to be returned (except mail-in and on-site repairs). Pressing "Undo cancellation" only removes the cancelled mark; the status stays the same. Adjust it with "◀ Move back" if needed.

If the customer cancels from the status page, it's handled the same way and shows up in your shop's "Notifications". Cancellation fees count toward sales on the day of cancellation.
