Chapter 8
In repair to work done
There are only two things to do during a repair: note the parts and materials you use, and press "Mark as done" once it's fixed (shops that use inspection checklists also record the after-work inspection).
Mark as done#
Press "Mark as done" on the ticket (shops with staff registered choose who did the work first). The status becomes "Work done (Awaiting confirmation)", and customers with an email address get a completion message automatically. For repairs checked in together, tick the "complete together" box to send just one message.
If you picked items in stock on the final estimate, their quantities are taken from stock when you mark the work as done (Chapter 8).
As the due date gets close (from 3 days before, by default), the ticket's top box is colored and "Due [date] ([n] days left)" appears under the status badge. The "Due:" label under the repair details turns bright red on the due date and after. Repairs left at Work done without notifying the customer for the set number of days (7 by default) are counted under "Needs action" in the list.
Repair report / diagnosis for the customer (optional)#
Write "what caused it and what you did" in the ticket's "Repair report / diagnosis for customer" and press "Save report". From work done onward, a "View repair report / diagnosis" link appears on the customer's status page automatically. If you save it before marking the work as done, the diagnosis and care advice are also included in the completion email as a "Message from" your shop. The same text is also printed on the repair completion slip. Write it once and it's used in three places, so there's no need to write a separate completion message, and it helps build trust in your shop. It's fine to skip it, too.
You can add up to 6 photos of the repaired areas with "Add photo" above the report text (Pro plan). Photos are saved as soon as you add them, and on the customer's report page the text appears below the photos. The report link appears even with photos only and no text. Photos are not printed on the repair completion slip (they're only on the customer's page).
Use "Preview" to see what the customer will see. Pressing "Delete report" deletes the report photos along with the text.
Items & stock (ledger and items that need ordering)#
"Items & stock" in the side menu is one stock sheet, like the inventory in a register app. Filter on the left (status: All or Needs ordering; category; how it's sold; sort order), and items are listed one per row in the middle. Each row shows the name with small tags (number of variations, category, item number, stock, needs ordering) and the price on the right. An item with variations takes a single row. The stock value at cost is shown at the bottom left. When items need ordering, the number also shows on "Items & stock" in the side menu.
- Adding a part
- Press "+ Add item" at the top right and the form slides in from the right (the list stays visible behind; close with "×"). Enter the name and the quantity on hand (plus category, cost, price, item no., order alert and a note if you have them) and press "Add". Pick a category from the list or type a name to add one (it's the same list as "Category" in Settings; new names are added there too). Once in the ledger, picking the name on a final estimate takes it from stock
- How it's sold
- "Regular" items sell at a set price and stock is counted. "Service" items are repair and labor charges: they sell at a set price and stock isn't counted (they never appear under Needs ordering). "Open price" items have their price entered at checkout each time, and stock isn't counted (they never appear under Needs ordering). "By measure" items sell by an amount such as g or cm: set the unit and the price's base amount (such as 100 g). Stock is counted in the same unit, and at checkout you enter the amount, such as 250.
- Repair price list
- Register the repairs you often do with the selling type "Service" and they become your price list. When the price depends on the model, add variations (such as "iPhone 13" and "iPhone 14") to an item like "Screen replacement" and enter a price for each. On a ticket's final estimate, type part of the name in "Repair details" and it appears as a suggestion; pick it and the price and category fill in. You can also pick it at checkout. Stock isn't counted, and it never appears under Needs ordering
- Tax included / added
- Use "Tax included" or "Tax added" under the price to set, per item, whether the price includes tax. With tax added, the price with tax appears in small text under the price; with tax included, the tax portion does. At checkout the amount goes in with tax; on estimates (stock suggestions) it follows your shop's "Amount entry" setting (with or without tax).
- Variants
- Use "+ Add variation" to make a row for each color, size and so on ("Regular" and "Service" items only, up to 30). Each name combines "Type 1" and an optional "Type 2". Price, cost, item no., stock and order alert (no stock or order alert for "Service") are entered per variation and disappear from the item fields. When you press it, the values you entered move to the first row, and the first row's price, cost and order alert are copied to the second (item no. and stock aren't copied). Drag "⋮⋮" to reorder; "Back to no variations" moves the first row's values back to the item. In the list, variations are grouped under the item name, and on estimates and at checkout you pick the variation. After adding, "Edit" in the item's details opens the same table, where you can change names and prices, add, remove (from the ledger) and reorder variations (change stock with "Stock in", "Stock out" or "Count")
- Notes
- A note for each item. At checkout it appears in small text under the item's name.
- Stock
- The number on the shelf: the total received (plus count corrections), minus what was used on repairs marked as done, taken out and sold through POS. Items on the final estimates of repairs that aren't done yet (checked in to in repair) are shown separately as "Reserved" and are taken from stock when the repair is marked as done. Stock minus reserved is "Available", which is what Needs ordering and the estimate and checkout suggestions use. Items on cancelled repairs go back on the shelf.
- Needs ordering
- Items whose available stock (stock − reserved) is at or below the order alert, and items that are short. It includes items reserved on the estimates of repairs that aren't done yet, so an item on the shelf can still show here if other repairs will use it. With an order alert of 0, an item shows here once nothing is available. When stock arrives, record it with "Stock in" in the item's details.
- Pressing a row
- Press a row and the item's details slide in from the right (the list stays visible behind). "Details" shows the stock in large numbers with "Stock in", "Stock out" and "Count". For items with variations, a table lists each variation's item number, price, order alert and stock; the variation you press in the table is the one you record for. Below that come how it's sold, tax on the price, cost and note. "History" lists stock in/out and counts, newest first, and "Note" lets you write and save the note. Use "Edit" at the top to open the same fields as when adding and change the item and its variations (add, remove and reorder too), and "‹" "›" to move to the previous or next item. Close with "×". For items you no longer use, press "Remove from ledger" under "Edit" (ticket records are kept).
- History
- "History" at the top right lists every item's receipts, take-outs and stocktakes, newest first (date & time, item, what happened, cost, memo, recorded by)
- Stocktake
- Next to "History" at the top right, "Count" lets you count all your items at once. Press "+ New stock count", choose what to count (all or by category) and press "Start count". The items are listed on one screen, so you enter the actual counts from top to bottom (Enter moves to the next row). Numbers are saved as you enter them, and if you close the page you can resume from "In progress" in the list. Expected stock, differences, cost and value are shown, and you can filter by "Not entered" or "With differences". When you complete the count and choose "Update stock to the actual counts", only items with differences change, and each is recorded as a count in the item's history. Completed counts stay in the list, with their differences and stock value (actual × cost). To correct a single item, use "Count" in the item's details
The ticket's "Parts & materials" (order notes) aren't part of the stock list. Repairs with anything "Not ordered" show under Needs action in the repair list, and "Awaiting stock only" in the repair list shows which repairs are waiting (the names are listed too, so it works as your list of things to order).
