The fee is on the estimate
Set a cancellation fee on the estimate, and it's shown to the customer and filled in for you if they decline.

Start free1. Key points
Pick one way to cover the time you spend on repairs that customers decline (free diagnosis, a diagnostic fee credited to the repair, or a cancellation fee only if they say no) and use it for everyone. Tell customers before you start: one line in the terms they sign at drop-off, and the fee written next to the total on the estimate. A fee the customer saw before deciding is rarely argued with; one they hear about at pickup almost always is.
2. Three ways to handle declined repairs
| Way | How it works | What it does well | What to watch |
|---|---|---|---|
| Free diagnosis | You look at it for nothing and only charge if they go ahead. | Easiest yes at the counter | Time spent on declined jobs is never paid for |
| Diagnostic fee, credited to the repair | A flat fee at drop-off, taken off the bill if they approve. | Serious customers pay nothing extra; declined jobs still cover your time | Needs explaining at drop-off, every time |
| Cancellation fee only if they decline | No charge up front; a set fee if they say no after the estimate. | Nothing to collect at drop-off | Must be agreed before you start, or it feels like a penalty |
3. Tell customers in three places
- At drop-off, in your terms. One line in the terms the customer signs: what you charge if they decline after the estimate, and that you'll tell them the amount first.
- On the estimate. The fee written next to the total, so the customer sees both numbers when they decide.
- When they decline. Repeat the amount before you confirm the cancellation, and how they can pick the item up.
4. Wording you can copy
Change the amounts and names. Keep each one short and specific.
Drop-off terms
If you decide not to go ahead after receiving our estimate, a fee of $25 applies for diagnosis and handling. We'll always tell you the amount before you decide.
On the estimate
Total: $180.00. If you cancel after this estimate, a cancellation fee of $25.00 applies.
When the customer declines
Thanks for letting us know. We've cancelled the repair on your watch (ticket 0124). As mentioned on the estimate, there's a $25 cancellation fee. Your watch is ready to pick up Tuesday to Saturday, 10 to 6.
5. Common mistakes
- Mentioning the fee for the first time at pickup. A fee the customer hears about only when they come to collect feels like a penalty. Say it at drop-off and on the estimate.
- Charging some customers and not others. Regulars get it waived, newcomers don't, and word gets around. Decide when you waive it, and do it the same way for everyone.
- A fee bigger than the work. If the fee is close to the repair price, customers stop bringing borderline items. Keep it to what a diagnosis actually costs you.
- Nothing in writing. "We told you on the phone" is hard to stand behind. The signed terms and the estimate are your record.
6. Cancellation fees in Repair Karte
Set a cancellation fee on the final estimate and the estimate says, under the total, that the fee applies if the customer cancels. If they decline, open Cancel repair on the ticket: the amount is already filled in, and you can change it or set it to zero. The drop-off terms customers sign on screen include a cancellation section you can edit, and with invoices turned on in Settings you can issue one for the fee.
7. Frequently asked questions
Should a repair shop charge for diagnosis?
Many do, because a diagnosis takes real time even when the customer decides not to go ahead. A common middle ground is a flat diagnostic fee that is taken off the bill if the customer approves the repair.
How much should a diagnostic or cancellation fee be?
Enough to cover the time a diagnosis actually takes, and clearly smaller than a typical repair. Shops often set one flat amount per type of item so it's easy to explain.
How do I make a cancellation fee fair to customers?
Tell them before you start: in the terms they sign at drop-off and next to the total on the estimate. Then a decline is never a surprise. Local consumer rules differ, so check yours.
Can repair software show the cancellation fee on the estimate?
Yes. In Repair Karte you can set a cancellation fee on the final estimate; the estimate then says the fee applies if the customer cancels, and the amount is filled in for you when you cancel the repair. You can also set it to zero.
