FOR BIKE SHOPS

Bike repair tickets and service updates, without the phone tag

Flat fixes, tune-ups and full overhauls. Write up each bike at check-in, send estimates riders approve on their phone, and email them when the bike is ready to pick up.

How one bike repair flows

An example of a bike repair in Repair Karte (the customer and item are made up). The plan for each step is written under it; see pricing.

  1. 1Check-in

Check in the road bike for “gears skip under load”

Pick the item type and the usual work in a tap, write the symptom, and print a claim tag (PDF on Letter or A4). The customer signs on screen.

Plan: All plans (Free: up to 100 repairs a month) · QR code on the claim tag: Standard and up

  2. 2Estimate

Send a $165.00 estimate for “tune-up, chain and cassette replacement”

The customer approves it on the repair's status page. On Standard and Pro the estimate is emailed automatically, and a reminder goes out if they haven't answered (after 5 days to start).

Plan: Approval on the status page: all plans · Automatic email and reminders: Standard and up

  3. 3In repair

Add “Waiting for parts (cassette ordered)” to the timeline

The customer can check progress on the repair's status page anytime (from the QR code on their claim tag, or by looking up their phone number). When the parts arrive, move the status on.

Plan: Status page: all plans · QR code on the claim tag: Standard and up

  4. 4Ready

Mark it complete, and the customer is told

A ready-for-pickup email goes out with a link to the status page, where the customer can book a pickup time and pay by card before coming in.

Plan: Email: Standard and up · Card payment (Stripe): Standard and up · Pickup booking: Pro

  5. 5Pickup

Hand it over and record the payment

Record how it was paid (deposits are subtracted automatically). The repair stays on Emily's history, and on the item's history by serial number.

Repair report
The chain was stretched and had worn the cassette, which made the gears skip. We replaced both and adjusted the derailleurs. We recommend checking chain wear every 1,500 miles.

Made for bike repairs

1

Approve the extra parts online

When a tune-up turns up a worn cassette, update the estimate; the rider approves it on the status page instead of you calling them.

2

A rack spot for every bike

Record the shelf or rack number on each ticket, so whoever is at the counter finds the right bike at pickup.

3

Inspection checklists

Use a pre-ride check before handover (brakes, tire pressure, bolts), and optionally block handover until it's done.

Questions from bike shops

Can riders approve extra work without a phone call?

Yes. Update the estimate and the rider approves it on the bike's status page, on every plan. On Standard and Pro the new estimate is emailed automatically.

Does it do bike rentals or sell parts and accessories?

No. Repair Karte tracks repairs only. There are no rentals, retail sales or stock counts; keep your current POS for those.

Can I keep a service history per bike?

Yes. Turn on serial numbers to see every service the same bike has had, as well as each customer's history.
