FOR GUITAR & INSTRUMENT REPAIR SHOPS

Instrument repair tracking, built in a working repair shop

Repair Karte started at a guitar repair bench. Setups, fret work, electronics and wind instrument repairs, with estimates customers approve online and a history for every instrument by serial number.

Sound familiar?

A setup turns into fret work and a new nut, and the paper ticket runs out of room
"Is my guitar ready yet?" calls interrupt the work at the bench
Nobody remembers what was adjusted on this instrument last time

How one instrument repair flows

An example of a instrument repair in Repair Karte (the customer and item are made up). The plan for each step is written under it; see pricing.

  1. 1Check-in

Check in the electric guitar for “output cuts in and out”

Pick the item type and the usual work in a tap, write the symptom, and print a claim tag (PDF on Letter or A4). The customer signs on screen.

Plan: All plans (Free: up to 100 repairs a month) · QR code on the claim tag: Standard and up

  2. 2Estimate

Send a $85.00 estimate for “output jack replacement and rewiring”

The customer approves it on the repair's status page. On Standard and Pro the estimate is emailed automatically, and a reminder goes out if they haven't answered (after 5 days to start).

Plan: Approval on the status page: all plans · Automatic email and reminders: Standard and up

  3. 3In repair

Add “Waiting for parts (output jack ordered)” to the timeline

The customer can check progress on the repair's status page anytime (from the QR code on their claim tag, or by looking up their phone number). When the parts arrive, move the status on.

Plan: Status page: all plans · QR code on the claim tag: Standard and up

  4. 4Ready

Mark it complete, and the customer is told

A ready-for-pickup email goes out with a link to the status page, where the customer can book a pickup time and pay by card before coming in.

Plan: Email: Standard and up · Card payment (Stripe): Standard and up · Pickup booking: Pro

  5. 5Pickup

Hand it over and record the payment

Record how it was paid (deposits are subtracted automatically). The repair stays on Emily's history, and on the item's history by serial number.

Questions from guitar & instrument repair shops

I take in two guitars and a sax at once. How does that work?

Check them in together. Each instrument gets its own record and number, and the customer gets one message when all of them are finished.

Can I keep a history for each instrument?

Yes. Turn on serial numbers and every repair of the same instrument shows on its history, in addition to the customer's history.

Is there a real shop using it?

Yes: Gakkiya BOW, a musical instrument shop in Japan, uses Repair Karte at its repair counter, and its story is on our site. They work in Japanese with LINE messages and a Japanese POS register; shops in English-speaking countries use email instead.
